W-2 Filing Requirements & Deadlines

Filing season has begun for 2025. Baldwin CPA’s payroll processors are in full force for the W-2 season. Here is some helpful information to get you through the W-2 season.

Info needed

We need all employees’ basic information, such as legal name, address, and SS #, which are required for filing.

At year-end, we process items that we need to gather information for each year, such as vehicle usage and S-corp owner health insurance. It is important to submit that information to your payroll processor as early as possible to avoid penalties and interest in federal tax payments.

Filing deadlines

The deadline to submit all W-2s and W-3s to the Social Security Administration is January 31, 2025. Paper forms are also due on that date.

W-2s are to be distributed to employees by January 31, 2025.

Filing requirements

All employers with 10 or more employees are required to file online.

Filing threshold

For 2024 single filers that earn less than $14,600 and do not have any special circumstances are not obligated to file an income tax return. The limit amount for married filing jointly is $29,200, and head of household is $21,900.00. If you are 65 or older, the amount is $16,550.00
